To help support this growth, our Mid-Atlantic Regional Business Development, Capture, and Proposal (BDC/P) Team is expanding in multiple locations. We now have an opportunity for a Proposal Specialist to join our team and help support the strategic growth plans for our Mid-Atlantic Facilities Business Line.
The Proposal Specialist will support various Capture Managers for multiple pursuit and proposal activities. In general, the Proposal Specialist will: research, compile, organize, format, and edit text and graphic content; coordinate and facilitate proposal review meetings; communicate and coordinate with teaming partners; and coordinate the final proposal document. This position requires strong organizational skills as well as capabilities in: time management, proposal compliance checking, and professional editing/writing.
The ideal candidate will have experience in the Architectural/Engineering/Consultant industry. This position is part of the Mid-Atlantic BD, Capture, and Proposal Team and will be based in Gannett Fleming’s Baltimore, MD, office. Some local and regional travel may be required.
Responsibilities – Proposal Specialist
Organizes and coordinates proposal resources (capture and project management/technical team input, proposal support, and graphics/print teams) and ensures completion of all assignments, review of all work, and adherence to internal best practices and quality control objectives.
Provides support during Capture Planning phase of the BD lifecycle.
Performs detailed analysis of SOQ and RFP requirements; prepares compliance matrices/outlines and schedules according to proposal best practices deployed by the Mid-Atlantic Business Development team.
Provides writing support, including, but not limited to developing rough drafts and detailed outlines for any section, supporting development of storyboards, and writing and tailoring resumes, project descriptions, summary paragraphs, action captions, and benefit statements.
Schedules, facilitates, and documents proposal kick-off and review milestones in accordance with best practices.
Manages proposal support staff during proposal development phase.
Supports interview teams and other sales presentation needs.
Researches and compiles information from both external and internal sources, including a variety of databases and data sources (internet, company intranet, previous proposals, etc.).
Participates in required training and knowledge sharing activities including capture and proposal development best practices.
Performs self-check of work products and coordinates independent quality control review and compliance checks during the lifecycle of the proposal and in strict accordance with internal quality and proposal development procedures.
Travel within the local/regional area, if required.
Other duties as assigned.
4 years of relevant proposal preparation experience (A/E/C industry preferred).
Strong organizational skills.
Strong attention to detail and accuracy.
Strong ability to perform multiple tasks in an organized manner.
Competency/experience with Adobe InDesign and Acrobat.
Excellent communication skills, including the ability to work positively and professionally with various levels of staff throughout the organization.
Proficiency in business writing, technical editing, proofreading, document formatting skills.
Degree in English, marketing, journalism, communications, business, or applicable field related to Gannett Fleming's core business or comparable and relevant professional experience.
Proficiency in Microsoft Office applications (Word, Excel, Power Point).
Willingness and ability to travel within the local/regional area, if required.
